In our industry change is constant. And many of those changes affect your system data. Prices change, SKU’s are modified, new items are created, new varieties are released and old varieties are retired, a new customer is added, and so on. This level of change can put a burden on the employees managing the data in your systems.
How can you keep up with all these edits?
Most systems provide one or more of typically three types of edits.
If you are only updating a few pieces of information, like a phone number change or adding a new store for example, then it is faster to enter that information into the system using the online tools for updating each record. Most systems have edit screens where items, or prices, or bills of materials can be individually updated. For a few records or small changes, this is the most efficient method.
Some systems provide a ‘bulk edit’ capability. This allows you to select a certain set of records and apply the same change to each one. For example, let’s say you are changing the soil in all your 6-Pack annuals. If your system provides for it you could select all the 6 pack annual items and replace the old soil with the new one and apply that change to all selected items.
If you have a large amount of data that you need to add then you will need to do a mass update. Maybe you picked up new Product lines or maybe even expanding into new Markets or Patches. These changes result in the need to update a large number of records in the system to include the new information. A mass update is typically done by importing the new data via a spreadsheet template or other file format. A mass update allows the file (or database commands) to be imported all at once easily creating or updating all the records needed very quickly. Mass update capability depends on the system and database capabilities.
A mass update will save you time and money by doing all the records at once instead of adding one at a time using the other methods.
